Invoice scanning is faster, and gets your prices right

For tracking ad-hoc spend on a Project, go to the Materials tab and hit Upload Invoice. Payaca reads the line items straight off a photo or PDF of your supplier invoice, so you never type them in.

That reading step is now up to ~10x faster.

Prices come out right

Scoring showed prices were where scanning went wrong most often. Three fixes:

  • Pack prices are divided down to a single unit. A price printed as "£15.75 per 10" now reaches you as the price of one, not the price of ten.
  • VAT is read off the document, not assumed. Some merchants print line prices with VAT included, some without. Payaca now works out which by checking the lines against the document's own net and gross totals.
  • Quantities can be fractional. 10.8 metres of lagging used to round up to 11. Anything billed by length, area or weight now comes through exactly as printed.

It also knows what to skip

Scanning is better at ignoring the parts of a document that are not a list of goods. Statements of account, remittance slips and ageing summaries no longer get mistaken for one.

And a single PDF holding several invoices now has every one of them read, not just the first.

Out of beta

The invoice importer has lost its Beta badge. It is stable, and we are happy for you to lean on it.

You can still review every line before it saves. Check the unit price, quantity and tax rate on each one, fill in anything we could not read, drop any line you do not want, then hit Import.
