MCS scheme mapping

The redeveloped MCS scheme, mapped to Payaca

Every MCS certified business has to be operating under the redeveloped MCS scheme by 31 March 2027. This page maps what the scheme requires to the Payaca feature that handles it, so you can see exactly how your operation would evidence the new requirements.

Scheme requirements are drawn from MCS primary sources, linked throughout. Nothing below claims a Payaca capability the product does not have: where Payaca does not handle a requirement, we say so.

Assign the three business roles

What the scheme requires

The Installer Operating Requirements define three roles every certified business must fill: a Licensee who signs the Installer Agreement, a Main Contact for scheme communication, and one or more Technical Supervisors. Your certification body will expect you to name them and show they are genuinely part of how the business runs. MCS guide to the new business roles (MCS)

The Payaca feature

Every Payaca user has exactly one defined system role, chosen from Payaca's fixed set (Super Admin, Admin, Sales Manager, Sales Agent, Restricted Sales Agent, Field Agent), each a bundle of what that person can reach and do. Your MD, office manager and engineers each see the parts of the operation their role covers, so who holds which responsibility is a fact in the system, not a line in a document.

A Technical Supervisor for every installation

What the scheme requires

The Technical Supervisor confirms each installation complies with the relevant MCS Installation Standard, and their full name is a mandatory field when you create a certificate in the MCS Installations Database. You need to answer, for any job, who supervised it. MCS guide to the new business roles (MCS)

The Payaca feature

Jobs and scheduled events are assigned to named users, so the record of who was booked, who attended and who completed each task lives on the job. In the field app, an event is not completed until its tasks are finished, and time logs recorded against the event show who was on site and when. The supervision trail is captured by the people doing the work.

Certificate creation within 30 days

What the scheme requires

The certificate creation window extends from 14 to 30 days under the redeveloped scheme. Payaca does not raise MCS certificates; you create those in the MCS Installations Database. The question is whether everything you need to raise the certificate is complete the day the job closes, or still scattered across inboxes. MCS redeveloped installer scheme (MCS)

The Payaca feature

Commissioning information, test results, photos and completed checklists are captured against the job as the work happens, including from the engineer's phone. When the scaffolding comes down, the compliance record is already assembled, so raising the MID certificate is a same-week task rather than a 29th-day scramble.

Risk-based assessment of your delivery record

What the scheme requires

The redeveloped scheme assesses your business on what you deliver on site rather than a quality management binder. In practice that means an assessor asks for evidence from real installations: site photos, test results, who did what, and whether you can produce it quickly. MCS redeveloped installer scheme (MCS)

The Payaca feature

Every project holds its own evidence: file attachments uploaded from the field app on site, multi-section certificates and checklists completed task by task, time logs per job, and project search that finds any job by site address. Pick any installation from last March and assemble its full record in minutes.

The MCS Customer Commitment

What the scheme requires

Consumer Code membership is no longer mandatory. Consumer protection obligations now sit in the MCS Customer Commitment, which your business signs up to directly, covering how you quote, communicate and treat customers. MCS Customer Commitment (MCS)

The Payaca feature

Customers get a hosted portal where they view their itemised proposal with attachments, and accept or decline it. Every email and message is logged against the project timeline, so the record of what the customer was told, shown and agreed to is on the job, not in someone's inbox.

Pre-sale information and performance estimates

What the scheme requires

The pre-sale obligations you already know are restructured into technology-specific standards covering the system performance estimate and the information a customer must receive before contract. MCS redeveloped installer scheme (MCS)

The Payaca feature

Payaca proposals carry your account's MCS certification details, and solar estimates include the MIS 3002 self-consumption and battery disclosure wording where the account is battery-certified, pulled from your account settings rather than retyped per quote. Quotes go out itemised, with the customer's options laid out and signed digitally.

Centralised complaints management

What the scheme requires

Complaints handling is centralised with MCS rather than spread across consumer codes. Your part is the same as it always was: a logged, dated trail of what the customer raised and what you did about it. MCS complaints handling (MCS)

The Payaca feature

Because emails, messages, notes and documents all sit on the project, a complaint's whole history (what was promised, when the engineer attended, what was sent) is already in one place on the project. You can show MCS the trail rather than reconstructing it from inboxes.

What Payaca does not do

  • Payaca does not create MCS certificates. Certificates are raised in the MCS Installations Database by your business; Payaca keeps the evidence that goes into one complete and findable.
  • Payaca does not provide MCS financial protection. Under the redeveloped scheme you must buy an MCS approved financial protection product on behalf of each customer, giving at least six years' cover from installation and paying for remediation if your business can't or won't put an issue right. Payaca's automatic deposit invoice records what the customer paid and when, but it is not financial protection and does not meet that requirement.
  • Payaca does not replace your certification body, your Installer Agreement with MCS, or your Technical Supervisors' qualifications. It gives you the operational record that makes those straightforward to evidence.
