Inbox: Track emails against your projects
Matt FranklinYou now have an Inbox option in the left-hand menu of your Payaca web login. This new feature lets you track all customer emails against your projects, without switching away from your existing email client.
How it works
You get two bespoke email addresses unique to you as a user:
Forward address
When a customer emails you, forward it to your Payaca forward address. If the sender's email matches one of your customer contacts, it automatically assigns to their most recently updated project.
If there's no match, the email lands in Unassigned where you can manually assign it, or archive it if it's not relevant.
BCC address
When you email a customer from your inbox, add your Payaca BCC address. The email gets tracked against the matching customer's project, so your colleagues can see exactly what was communicated.
What your team sees
Once an email is tracked against a project, anyone on your team can see it in the project timeline, including who it was from, who forwarded it, and the full content.
Setting it up
- Google Workspace / Microsoft 365 - You can configure auto-forwarding or auto-BCC rules at the organisation level
- Individual email clients - Most clients let you set up rules to always forward or always BCC a specific address
- Manual - Simply forward or BCC on a case-by-case basis
Click the refresh icon in the top-left of your Inbox to check for new emails, and use the contact icon to copy your forward and BCC addresses.
Coming soon
We'll be adding the ability to send emails directly from Payaca, but for now, your current workflow stays the same, with the added benefit of full email visibility across your team.
