Search "best CRM for solar installers" and you get the same wall of generic listicles, ranking tools that were never built for installation work. HubSpot shows up near the top because it has the marketing budget to rank near the top, not because it handles a DNO application or a multi-option battery quote.
I've sat with enough installers who bought off a listicle and were back to a spreadsheet within two quarters to know the ranking approach doesn't work. What works is understanding what each category of software is actually for, where it stops being useful for solar work, and which one fits the problem you have right now.

"Best" isn't a fixed ranking. It depends on where you are. An installer doing eight jobs a month off a shared spreadsheet has a different problem to one running fifty jobs a month through a CRM the field team has quietly stopped using. These are good software. They are just built for a different job: managing an Opportunity through a sales pipeline that ends at Closed Won. A solar installation is not an Opportunity. It's a project that runs through design, compliance, procurement, scheduling, installation, commissioning, and handover, and generic CRMs have no concept of most of those stages.

Monday.com is genuinely good at what it does: visual boards, task ownership, and general project tracking. What it doesn't do is quote a job, invoice a customer, or generate a compliance document. Installers who adopt it usually end up running a CRM and a compliance process alongside it, which reintroduces the double-entry problem the tool was meant to solve. This category - Jobber, Commusoft, SimPRO, ServiceTitan - is a step closer to installation work than a generic CRM. They handle scheduling, dispatch, and invoicing well, because they were built for trades businesses in general: plumbers, electricians, HVAC engineers. None of them were built for clean tech specifically, so none of them understand DNO applications, MCS certification, or design tool imports from OpenSolar or EasyPV out of the box.

This is the category installers actually get compared against day to day, not generic CRMs or work management tools. OpenSolar gives away 3D design, a project CRM, proposal creation, and e-signatures for free, and it's genuinely strong at what it does - it's also one of the design tools Payaca pulls specs from directly, so the two aren't purely rivals. But that free CRM is built around the sale, not the job: there's no DNO or MCS workflow, no scheduling or dispatch, and accounting sync (Xero, QuickBooks) sits behind a separate paid API connector rather than being built in.
Reonic follows a similar pattern for UK installers - a genuinely deep component database and roof-planning tool, but no MCS or DNO compliance features and no built-in invoicing or payment collection, so most installers pair it with a second system for everything after the quote is signed. These three come up most often in UK searches for a solar CRM, and they are worth understanding because they are not all solving the same problem. What follows is drawn from each vendor's own published material, so treat it as what they say about themselves rather than a hands-on verdict.
Voltflo is the closest of the three to UK solar specifically. It is built around the front of the funnel: self-qualifying lead capture, instant proposals, and tracking which marketing channels produce revenue, with MCS and Irish SEAI grant workflows mentioned in its material. It positions itself as complementary to design tools rather than a replacement, which is a fair description. Where it stops is the job itself: it is a sales system, so scheduling, field work, invoicing and the compliance trail after the sale sit elsewhere.
AdminBase is a mature CRM for home improvement businesses, with genuine depth on sales pipeline, order tracking and commission calculation, plus Xero, QuickBooks and Sage integrations. It is worth noting that its own solar page does not mention MCS, DNO or G98/G99 at any point. For an installer whose main pain is sales administration that may not matter. For one whose pain is compliance, it is the whole question.
Sunbase is built for US-style solar sales operations, with strong door-to-door and canvassing support, from $59 per user per month. Its material makes no reference to MCS, DNO, G98/G99 or BUS, which is what you would expect from a US-oriented product. UK installers should go in knowing the compliance layer is not there.
The pattern across all three is the same one that runs through this whole comparison: plenty of tools handle the sale, far fewer handle what happens between a signed quote and an energised system.
This is the category built around the actual job: a pipeline that runs from lead through survey, design, proposal, installation, commissioning, and handover; multi-option proposals with equipment specs and staged payments; DNO submissions via ENA Connect and MCS documentation generated from data already in the system, not copied into it; design tool imports from OpenSolar, EasyPV, or Heatpunk so specs flow into quoting instead of being re-typed; and a mobile app built for a site survey, not a sales call.
Payaca is one option here. The point isn't that purpose-built always wins - it's that this is the only category with compliance and installation workflow built in rather than bolted on, which matters the moment those things start costing you time or risk.
If you're doing under ten installs a month and mostly need to keep track of leads, a generic CRM or even a well-run spreadsheet may still be enough. If you've outgrown that but aren't yet fighting compliance admin, a work management tool paired with a lightweight CRM can cover the gap for a while.
If you want the short version: for a UK installer doing ten or more installs a month where MCS and DNO work is a real cost, a purpose-built clean tech platform is the right category, and Payaca is the one we build. Match the tool to the problem you actually have, not the one with the best SEO.
